This Privacy Notice is issued by True Visions Group Co., Ltd., Show No Limit Co., Ltd., and Koelnmesse Pte. Ltd. (collectively referred to as the “Organizers” or “we”), the co-organizers of gamescom asia x Thailand Game Show 2026.
The Organizers place great importance on protecting the Personal Data of event participants (hereinafter referred to as “you”). This Privacy Notice has been prepared to explain how we collect, use, and disclose your Personal Data. It covers how the Organizers collect, use, and disclose your Personal Data, the categories of Personal Data involved and the purposes of such Processing, the disclosure of your Personal Data to third parties, the applicable retention periods, the measures used to safeguard your Personal Data, and your rights under the Personal Data Protection Act B.E. 2562 (2019), together with other applicable laws and regulations relating to Personal Data (collectively referred to as the “Personal Data Protection Laws”).

The Organizers may issue additional privacy notices for certain services or activities. In the event of any inconsistency between such additional privacy notice and this Privacy Notice, the additional privacy notice shall apply specifically to the relevant service or activity.

The Organizers receive your Personal Data from the ticketing platform service provider, Zipevent Co., Ltd. (“Zipevent”), after you have successfully completed the purchase of a ticket for gamescom asia x Thailand Game Show 2026.

 

1. The Organizers 

    The following companies are the Data Controllers and co-organizers of gamescom asia x Thailand Game Show 2026:

  2. Show No Limit Co., Ltd.
  3. Koelnmesse Pte. Ltd.

 

2. Purposes for Which We Collect, Use, and Disclose Your Personal Data 

 We collect, use, and disclose (collectively referred to as “Process” or “Processing”) your Personal Data only to the extent necessary and as permitted by applicable law. We will Process your Personal Data only where we have a lawful basis to do so. The purposes for which we Process your Personal Data are as follows:

 

2.1. For the Performance of a Contract

   We Process your Personal Data to provide the services you have requested, subscribed to, and/or to perform our obligations under any agreement or contract entered into between you and us. This includes, but is not limited to, the following purposes:

  1. For event registration.
  2. For registration verification, identity verification, and verification of your contact information.
  3. For ticket sales and order confirmation.
  4. For the collection of service fees and charges relating to our services, the issuance of relevant documents, such as receipts and/or tax invoices by True Visions Group Co., Ltd., and the management of transactions relating to your participation in the event.
  5. For verification of your eligibility to access the event or related services.
  6. For communications relating to the event, including notifications and the provision of information necessary for your participation in the event.
  7. For responding to your inquiries, handling complaints, and providing assistance relating to your participation in the event.
  8. For the administration and improvement of the event, including evaluating and analyzing the event to ensure its proper operation.
  9. For notifying you of changes to our services, the Terms & Conditions, and any changes relating to the event or the services provided.

    The Organizers are required to collect and Process your Personal Data for the primary purposes described above throughout the period during which you continue to use our services under the applicable contract and for such period as required by applicable law, including for the exercise of any legal rights of the Organizers, even after the contract has ended or you have ceased using our services. If you refuse to provide your Personal Data or allow the Organizers to Process your Personal Data for these primary purposes, the Organizers may be unable to provide you with the services under the applicable contract.

 

2.2. To Comply with Our Legal Obligations

   As we are required to comply with applicable laws and lawful orders issued by competent authorities, we are required to collect, use, and disclose your Personal Data for various purposes. These include, but are not limited to, the following:

  • For preparing accounting records, receipts, tax invoices, and other documents required by applicable law.
  • For complying with the Personal Data Protection Act B.E. 2562 (2019) and other applicable laws and regulations.
  • For complying with other applicable laws, including, but not limited to, the Computer Crime Act, the Electronic Transactions Act, the Consumer Protection Act, and other laws and regulations applicable to the Organizers.
  • For complying with applicable laws, regulations, rules, court orders, or lawful requests issued by government authorities or other competent authorities.

 

To Pursue Our Legitimate Interests and Those of Third Parties

   The Organizers may Process your Personal Data where it is necessary for the legitimate interests pursued by the Organizers or related individuals or legal entities, after carefully balancing such interests against your fundamental rights and freedoms under the applicable Personal Data Protection Laws. These include, but are not limited to, the following:

  • For preventing fraud, misconduct, and improper use, enforcing our Terms & Conditions and policies, and exercising our legal rights and claims.

  • For maintaining the security of the information, systems, and networks relating to the Organizers' services.

  • For ensuring safety and security and managing the event.

  • For understanding how participants use our services, improving service standards, analyzing data, preparing aggregated statistics, and improving the efficiency of the event.

  • For communications, and the recording of photographs and audio in connection with meetings, training sessions, recreational activities, or exhibition booths.

  • For communications and coordination relating to the organization of the event, including activities and exhibition booths associated with the event.

  • For recording photographs, audio, and video during the event for the purposes of maintaining event records, administering and managing the event, promoting the event, and publishing event highlights through the Organizers' communication channels.

 

3. Categories of Personal Data We Collect

   The Organizers may collect your Personal Data, including Personal Data received from Zipevent Co., Ltd. ("Zipevent"), the ticketing platform service provider. The categories of Personal Data we collect include the following:

4. Sources of Personal Data We Collect

The Organizers collect your Personal Data from the following sources:

  • Directly from you, such as the information you provide when registering, purchasing tickets, or using services related to gamescom asia x Thailand Game Show 2026.
  • From Zipevent Co., Ltd. ("Zipevent"), the ticketing platform service provider through which you purchase tickets for the event. Zipevent provides the necessary Personal Data to the Organizers for the purposes set out in this Privacy Notice.
  • From service providers that provide systems, technology, or other services relating to the organization of the event and the services provided by the Organizers (where applicable).
  • From other lawful sources, such as government authorities or publicly available sources, where necessary and permitted by applicable law.

 

Sharing and Disclosure of Personal Data

    We may share or disclose your Personal Data to relevant individuals, organizations, or third parties for the purposes set out in this Privacy Notice. Any such sharing or disclosure will be carried out only to the extent necessary and in accordance with the applicable Personal Data Protection Laws. The categories of individuals, organizations, or third parties with whom we may share or disclose your Personal Data include the following:

  • Government Authorities or Competent Authorities
    Government authorities or other competent authorities, such as the Revenue Department or other relevant authorities, to comply with applicable legal requirements or obligations, or where the Organizers are required by applicable law to disclose your Personal Data. 
  • Service Providers Supporting the Organizers' Operations and Services  
    Service providers engaged by the Organizers to support our business operations and improve and develop our business. These service providers may have access to your Personal Data and other information where necessary for the performance of the services they provide. We do not authorize them to use or disclose your Personal Data for any purpose other than providing the services we have engaged them to perform. These service providers may include:
    • Business referral partners.
    • Customer relationship management service providers.
    • Banks and payment and transaction service providers.
    • Business advisors, including legal advisors and information technology consultants.
    • Information technology service providers.
    • Advertising, marketing, and social media service providers.
    • Zipevent Co., Ltd. ("Zipevent"), the ticketing platform service provider.
    • Service providers supporting conferences, training sessions, and event management.
  • Use and Disclosure of Anonymized and Aggregated Data
    We may use or disclose anonymized data or aggregated data to the public, our affiliated companies, business partners, or relevant organizations for the purposes of analyzing usage trends, understanding participants' interests, and improving the event or our services to better meet the needs of participants.
  • Disclosure of Personal Data to Third Parties with Your Consent
    Where the Organizers need to disclose your Personal Data to third parties for purposes other than those set out in this Privacy Notice, we will obtain your consent prior to such disclosure, unless otherwise permitted by applicable law. We may also share your Personal Data or other information with third parties where you have given your consent, for example, when you choose to link your account with a third-party platform.
  • International Transfer of Personal Data
    Where it is necessary to transfer your Personal Data to another country for the operation and administration of gamescom asia x Thailand Game Show 2026, the Organizers will ensure that such transfer is carried out in accordance with the applicable Personal Data Protection Laws and that appropriate safeguards are implemented to ensure your Personal Data is protected in accordance with applicable standards.

6. International Transfer of Personal Data

 The Organizers may need to transfer your Personal Data to individuals, organizations, or international organizations located outside Thailand. This may include, for example, storing Personal Data in cloud-based systems with servers located outside Thailand or providing services in other countries. Where we transfer your Personal Data to another country, we will ensure that such transfer is carried out in accordance with the applicable Personal Data Protection Laws and the requirements prescribed by the Personal Data Protection Committee. We will also assess the potential impacts and risks associated with such transfer and implement appropriate safeguards and contractual measures to ensure that your Personal Data transferred internationally is protected in accordance with applicable standards and an appropriate level of security.

 

7. Retention and Protection of Personal Data

    The Organizers implement appropriate security measures, including organizational measures and technical measures, to protect your Personal Data against loss, unauthorized access, use, alteration, modification, or disclosure.

The Organizers will retain your Personal Data only for as long as necessary to fulfill the purposes set out in this Privacy Notice, or to comply with applicable law, including for the exercise of the Organizers' legal rights. Once the contractual relationship has ended, or when the retention period is no longer necessary or required by law, the Organizers will delete, destroy, or anonymize your Personal Data in accordance with applicable standards within a reasonable period.

Personal Data collected in connection with gamescom asia x Thailand Game Show 2026 will be retained until 31 December 2026, or until the related activities and services have concluded or are no longer necessary, whichever is later, for the purposes set out in this Privacy Notice and in compliance with applicable laws.

General Personal Data collected in connection with the operation of gamescom asia x Thailand Game Show 2026 will be retained until 31 December 2026, or until the related activities and services have concluded or are no longer necessary, whichever is later. However, Personal Data relating to transactions, payments, accounting, or tax invoice issuance will be retained for the period required under applicable laws (such as accounting and tax laws), which may range from five (5) to ten (10) years from the date of the relevant transaction. 



8. If You Choose Not to Provide Your Personal Data

    The Organizers are required to collect certain categories of your Personal Data under applicable laws or for the operation and provision of services relating to gamescom asia x Thailand Game Show 2026. If you choose not to provide the Personal Data required for these purposes, the Organizers may be unable to process your registration, verify your eligibility, facilitate your participation in the event, or provide certain services to you.

For Personal Data that is not necessary for the provision of our core services, the Organizers will inform you accordingly. You may choose not to provide such Personal Data, and your decision not to provide such Personal Data will not affect your eligibility to participate in the event or receive our core services, unless otherwise notified by the Organizers.

    Your rights described in this section are rights provided under the applicable Personal Data Protection Laws. Subject to the applicable laws, regulations, and conditions of the country in which such laws apply, you may exercise your rights in relation to your Personal Data as described below.

1) Right to Rectification

      • If your Personal Data has changed, or if you believe that any of your Personal Data is inaccurate, incomplete, or not up to date, you may notify us so that we can correct, update, or complete your Personal Data.

2) Right of Access

      • You have the right to request access to and obtain a copy of your Personal Data, including, for example, your registration details, payment information, receipts, and other relevant records.

3) Right to Data Portability

      • Where your Personal Data is in a commonly used and machine-readable format and can be disclosed by automated means, you have the right to receive such Personal Data and, where technically feasible, request that the Organizers transmit such Personal Data to another Data Controller by automated means, subject to applicable legal requirements and technical limitations.

4) Right to Object

      • You have the right to object to the collection, use, or disclosure of your Personal Data by the Organizers if such collection, use, or disclosure is not carried out in accordance with the purposes notified to you or the applicable Personal Data Protection Laws. 

5) Right to Restriction of Processing

      • Where you have (i) objected to the collection, use, or disclosure of your Personal Data, (ii) requested the erasure, destruction, or anonymization of your Personal Data, or (iii) requested the rectification of your Personal Data, you may request that the Organizers temporarily restrict the collection, use, or disclosure of your Personal Data while your request is being considered.

6) Right to Erasure

    • In providing services under the applicable contract, the Organizers are required to retain certain categories of your Personal Data for the duration of the contractual relationship, for the retention period required by applicable law, and where necessary for the exercise of the Organizers' legal rights, even after the contractual relationship has ended. In such circumstances, the Organizers may not be able to erase or destroy your Personal Data immediately upon your request.

   In certain circumstances, the Organizers may be unable to comply with your request to exercise your rights where the Organizers are required to retain or Process your Personal Data under applicable laws, contractual obligations, or other necessary grounds requiring the Organizers to Process your Personal Data in accordance with the applicable Personal Data Protection Laws or other applicable laws. In such cases, the Organizers will inform you of the relevant reasons.

 

How to Exercise Your Rights 

1) If you wish to exercise any of the rights described above, please contact the Organizers through the contact details provided below.

    • You may contact the Organizers' Data Protection Officer to exercise your rights at the email address set out in Section 12: Privacy Notice and Contact Information.

2) Before processing your request, we are required to verify your identity to ensure that you are the rightful owner of the Personal Data and to prevent unauthorized disclosure of your Personal Data. The Organizers may request specific information or supporting documents from you to verify your identity.

3) We will review your request, take the appropriate action where applicable, and inform you of the outcome accordingly. Where necessary, the Organizers may contact you to request additional information or supporting documents relating to your request. We may also inform you of any limitations on the exercise of your rights and any potential consequences, particularly where the exercise of such rights may affect the Organizers' ability to provide services. 

4) The Organizers reserve the right to refuse requests that are unreasonable, not in accordance with the applicable Personal Data Protection Laws, and/or impracticable to fulfill.

 

10. Cookies and Related Technologies

    Websites or platforms relating to gamescom asia x Thailand Game Show 2026 may use Cookies and similar technologies to ensure the efficient operation of the websites, enhance security, analyze website usage, and improve the user experience.

Where Cookies are used, the Organizers or the relevant website service provider will ensure compliance with the applicable Personal Data Protection Laws, including providing a Cookie Policy and/or Cookie Consent Banner, where required by applicable law. 11. Minors 

 The processing of Personal Data relating to minors shall be conducted in accordance with the requirements prescribed under applicable personal data protection laws, the Civil and Commercial Code, or the laws applicable in the jurisdiction of the relevant Data Subject. The Organizers have established the following conditions:

Minimum Age Restriction: The Organizers do not intend to collect, use, or disclose the Personal Data of minors under 10 years of age. The ticketing system will be configured to permit transactions only for individuals who indicate that they are 10 years of age or older. The person purchasing the ticket or providing the information represents and warrants that the age information entered into the system is true and accurate in all respects.

Minors Aged 10–20 Years: The Organizers will collect and use Personal Data only to the extent necessary for the performance of a contract, such as registration, ticket purchase, payment, and event admission, and for legitimate interests, such as capturing photographs or recordings of the event atmosphere and preparing aggregated statistics, as part of the ordinary operation of the event. Minors within this age group may enter into the relevant transactions and provide their Personal Data on their own behalf without obtaining additional consent from a parent or legal guardian, unless otherwise required by applicable law.

   gamescom asia x Thailand Game Show 2026 and the Organizers are committed to providing a welcoming, inclusive, and respectful environment for everyone attending our events, regardless of gender, gender identity, nationality, race, religion, beliefs, ideology, disability, age, language, sexual orientation, or any other status protected by applicable law. We celebrate and respect diversity and do not tolerate harassment, discrimination, creating a hostile environment, inappropriate behavior, or offensive language directed toward guests, visitors, members, partners, exhibitors, co-organizers, or any other individuals associated with our events.

The Organizers reserve the right to deny admission, remove any individual from the event, or take any other appropriate action where there are reasonable grounds to believe that such individual has violated or engaged in conduct inconsistent with this Safe Space Policy. This Policy applies to all events organized or hosted by the Organizers, whether conducted in person or online.

For the purposes of this Policy, "Harassment" means any act or conduct that demeans, insults, discriminates against, intimidates, threatens, harasses, or creates an unsafe environment for another person on the basis of gender, gender identity, sexual orientation, physical or mental disability, physical appearance, race, nationality, age, religion, or any other personal characteristic. Harassment includes, but is not limited to:

  • Deliberate intimidation or stalking;
  • Photographing, recording, or filming another person in a manner that invades their privacy or constitutes harassment without their consent;
  • Sustained disruption of presentations or activities;
  • Inappropriate physical contact or any form of sexual harassment.

The Organizers may take any action that is appropriate and reasonable under the circumstances, including issuing a warning, suspending participation, removing the individual from the event, or prohibiting the individual from attending current or future events.

If you are subjected to harassment or witness another person being harassed, please notify us immediately. You may report the incident directly to our staff at the registration counter or, for digital events, by email at info@gamescom.asia. Protecting the physical and psychological well-being of all participants is our highest priority.

Where necessary for the safety of individuals or property, the Organizers may contact security personnel, relevant government authorities, or the police, as appropriate. The Organizers are committed to supporting individuals affected by harassment throughout the process.

We welcome everyone and ask all participants to treat one another with respect, dignity, and consideration. Compliance with this Safe Space Policy is mandatory and applies without exception.
